Due to Summer School at Charlottesville High School, BVA cyclists will not be allowed on school grounds until 2:00 pm. PLEASE do not arrive eary!

Saturday - 6:00 am - 9:00 am

Check-in Logistics:

Registered cyclists should stop by all the stations in the Check-In area. Areas included are:

 

Check-In

Registered cyclists should report to our “Check-in area” upon their arrival at Bike Virginia 2009. You will receive your Bike VA Information Packet and your wristband will be securely fastened to your wrist. Your wristband is your “ticket” to participate in Bike Virginia events and will also show your meal(s) purchased (no more paper tickets). You will need to wear this wristband at all times during the event – it gives you admittance to Rest Stops, Shuttle Buses, and Bike Virginia sponsored events.

 

T-shirt

Cyclists will need to pick up their official Bike Virginia t-shirt. The t-shirt team will have a list of cyclists and their size. If a different size is requested, the cyclist may exchange their t-shirt at the Bike VA Store after 12 noon on Sunday.

 

Camping Luggage Tags

Colored luggage tags will be used for campers as a way to designate their luggage at various luggage drop-off and pick up areas. Campers need to pick-up two luggage tags of the same color and two luggage plastic ties. One tag is for your clothing bag and the other for your camping gear. You choose the tag color. The color is not important – just make sure they are both the same color. You will proceed to your color area next to the luggage trucks in Culpeper and Orange to retrieve your luggage and upon returning to Charlottesville. Please put your name on the tags before attaching to your luggage. Camping luggage tags will be on a table in the Check-In area for cyclists to pick up – no list to check off.

 

NOTE:  Plastic bins, coolers, chairs (outside of duffle bag), etc. will not be transported by Bike Virginia. Please return them to your car before leaving Charlottesville. All camping gear must fit into a reasonably sized gear bag. If camping gear is put into a plastic bin, it will be taken to Hospitality, and you will need to purchase a duffle bag to store the necessary camping items for the remainder of the event. Remember – only two bags per cyclist who are camping.

 

NOTE:  We recommend you have another ID on your luggage in case the BVA tag is lost.

 

Hotel Luggage Tag

Cyclists staying in official Bike Virginia hotels will need to purchase the Hotel luggage transfer service. Your luggage (one bag per cyclist staying in a hotel) will be picked up from your hotel in Charlottesville and delivered to and also picked up from your hotel in Culpeper, and returned to Charlottesville High School in Charlottesville. Hotel luggage pick-up and delivery will include only the official Bike Virginia hotels listed on our website. Our Hotel Luggage team will pick-up your luggage and take to your Culpeper Hotel. Hotel Luggage tags may be picked up in the Check-In area. Please follow the directions on the hotel luggage tag envelope. Hotelers are allowed one bag per person.

 

NOTE:  We recommend you have another ID on your luggage in case the BVA tag is lost.

 

License Plates

Cyclists are asked to print their name on the License Plate and sign the medical release on the back. The License Plate will enable passing cyclists to call you by name. Ties to attach the plate to your bike will be given to you at Check-In. Markers will be on the table for writing on the License Plate along with ink pens for your signature on back.

 

Passport

Pick up your Bike Virginia Passport and collect all the stamps at designated locations

throughout the ride. By Wednesday you’ll have a very special memento of your Bike

Virginia trip.  Passports will be located on a table in the Check-In area.

 

Bike Smart – Visit the Bike Smart table to get a schedule of activities. Bike Smart volunteers will do safety checks at the first Rest Stop along the route on Saturday, Sunday, and Monday. Don’t forget to have your passport stamped each day to receive your prize at Bike Virginia Hospitality! The Bike Smart Virginia table will be located in the Check-In area. AREAS TO VISIT AFTER CHECK-IN:

 

Orientation

All cyclists – new and experienced - are encouraged to attend a 10 minute orientation session after completing the check-in process. Orientation sessions are being given on a continual basis. Enter the orientation at any time and stay through the next session to complete the orientation cycle. Orientation is your chance to catch all the highlights of Bike Virginia for a fun-filled, safe ride. Orientation will be near the check-in area – just follow the signs directing you to Orientation.

 

Bike Virginia Store – Check out our official Bike Virginia merchandise at the Bike Virginia Store located under the Hospitality Tent and make your purchase before supplies run out.

 

Host Town Welcome Center – Visit the Host Town Welcome Center under the Hospitality Tent for all the information you will need to find your way around our Host Town. Best restaurants – see the Welcome Center, best stores – see the Welcome Center, sites to see besides the official Bike VA sites – see the Welcome Center. Your local information center!

 

Tour Book – Please read your Tour Book included in your Bike Virginia Information Packet. It contains all the information you will need to make the most of your Bike Virginia experience. The Tour Book includes a day-by-day list of events, meal times and places, emergency numbers during Bike Virginia, Bike Smart Virginia safety tips, elevation profiles and Route maps. The Tour Book is your information source for Bike Virginia!
